  • The Clinical Operations Manager is responsible for providing direct clinical services while overseeing clinical quality, operational excellence, provider development, and staff support.

     

    This role balances patient care with leadership responsibilities to ensure the delivery of high-quality, evidence-based services and the ongoing growth of clinical staff. 

    The Clinical Operations Manager maintains a caseload of approximately 15 patients per week while dedicating substantial time to supervision, training, quality assurance, and operational management functions. 

    Key Responsibilities

     

    Clinical Service Delivery 

    • Maintain a direct clinical caseload of approximately 15 patients per week. 

    • Provide evidence-based therapeutic interventions and treatment planning. 

    • Complete all required clinical documentation within established timelines. 

    • Collaborate with interdisciplinary team members to support patient outcomes. 

    Leadership, Management, and Accountability (LMA) 

    • Provide leadership, management, and accountability for clinical operations and provider performance. 

    • Monitor operational workflows and implement process improvements. 

    • Support organizational goals and strategic initiatives. 

    • Foster a culture of accountability, collaboration, and excellence. 

    Customer Service Excellence 

    • Promote exceptional patient and family experiences. 

    • Address patient concerns and service issues in a timely and professional manner. 

    • Support providers in maintaining high standards of communication and customer service. 

    • Monitor service delivery and patient satisfaction metrics. 

    Therapy and Intervention Service Audits 

    • Conduct routine audits of treatment plans, clinical documentation, and intervention services. 

    • Ensure compliance with organizational standards, payer requirements, and regulatory guidelines. 

    • Identify opportunities for quality improvement and corrective action. 

    • Track and report quality assurance outcomes. 

    Reflective Supervision 

    • Provide ongoing reflective supervision and consultation to therapists. 

    • Support clinical decision-making, case conceptualization, and ethical practice. 

    • Facilitate professional growth and self-reflection among providers. 

    • Assist clinicians in managing complex cases and professional challenges. 

    Provider Training and Quality Control 

    • Develop and facilitate ongoing provider training programs. 

    • Monitor adherence to clinical protocols and best practices. 

    • Conduct quality assurance reviews and performance evaluations. 

    • Provide coaching and feedback to improve service delivery and clinical outcomes. 

    Staff Development and Clinical Mentorship 

    • Guide therapists in expanding clinical competencies and developing specialized skills. 

    • Create individualized professional development plans. 

    • Support leadership development and career advancement opportunities. 

    • Foster a culture of continuous learning and professional excellence. 

     

    Qualifications 

    Required 

    • Master's degree or higher in PT, SLP, OT, SPED, Mental Health or related field. 

    • Active, unrestricted clinical licensure. 

    • Minimum of three (3) years of direct clinical experience. 

    • Minimum of two (2) years of supervisory, management, or leadership experience. 

    • Strong knowledge of quality assurance, compliance standards, and clinical documentation requirements. 

    • Excellent communication, organizational, and leadership skills. 

    Preferred 

    • Experience conducting clinical audits and quality improvement initiatives. 

    • Experience developing and delivering provider training programs. 

    • Knowledge of reflective supervision models. 

    • Experience in early intervention, outpatient therapy, and home health settings. 

     

    Work Schedule and Workload Expectations 

    This position is structured as a 40-hour-per-week role consisting of: 

     

    Direct Clinical Services 

    • Approximately 15 client sessions per week. 

    Non-Clinical Leadership and Operations 

    • Approximately 21.7 hours per week dedicated to: 

    • Leadership, Management, and Accountability activities. 

    • Reflective supervision. 

    • Provider training and development. 

    • Therapy and intervention service audits. 

    • Quality assurance and quality control. 

    • Staff mentoring and coaching. 

    • Customer service oversight. 

    • Team meeting facilitation 

    • Operational meetings, planning, and administrative responsibilities. 

    Administrative/Off Time 

    • Approximately 3.3 hours per week (40 minutes per workday) designated as breaks, lunch, and personal reset time.

  • The Clinical Finance Manager is responsible for overseeing the financial operations, compliance activities, human resources functions, and administrative infrastructure of the organization while maintaining a direct clinical caseload of approximately 15 patients per week. This position plays a critical leadership role in ensuring fiscal sustainability, regulatory compliance, operational efficiency, and organizational growth. 

    The Finance Manager partners with executive leadership, external financial professionals, legal counsel, and department managers to support strategic decision-making, maintain financial integrity, and ensure compliance with healthcare regulations and organizational policies. 

    Key Responsibilities 

    Clinical Service Delivery 

    • Maintain a direct clinical caseload of approximately 15 patients per week. 

    • Provide evidence-based therapeutic services in accordance with organizational standards. 

    • Complete all required clinical documentation accurately and timely. 

    • Support positive patient outcomes through high-quality clinical care. 

    Productivity and Cancellation Management 

    • Monitor provider productivity metrics and utilization rates. 

    • Track cancellation and no-show rates across the organization. 

    • Analyze trends and recommend operational improvements. 

    • Develop strategies to improve scheduling efficiency and service delivery. 

    • Report productivity and cancellation metrics to leadership. 

    Grant Writing and Funding Development 

    • Research grant opportunities aligned with organizational goals. 

    • Prepare and submit grant applications and supporting documentation. 

    • Track grant compliance, reporting requirements, and funding outcomes. 

    • Collaborate with leadership on funding diversification strategies. 

    Payroll Administration 

    • Oversee payroll processes to ensure accuracy and timely payment of employees and contractors. 

    • Review payroll reports and address discrepancies. 

    • Ensure compliance with wage and hour regulations. 

    CPA and Accounting Management 

    • Serve as the primary liaison with the organization's CPA and accounting partners. 

    • Coordinate tax preparation, financial reviews, and year-end reporting. 

    • Ensure accuracy of financial statements and accounting records. 

    • Support audit preparation and financial compliance activities. 

    Billing and Revenue Cycle Oversight 

    • Monitor billing processes and reimbursement performance. 

    • Conduct monthly billing audits to ensure accuracy and compliance. 

    • Identify billing trends, errors, and revenue recovery opportunities. 

    • Collaborate with billing staff to improve revenue cycle efficiency. 

    • Monitor accounts receivable and collections performance. 

    Human Resources Management 

    • Oversee HR processes and personnel administration. 

    • Maintain employee records and personnel documentation for internal policies and insurance payers.

    • Support recruitment, onboarding, and retention efforts. 

    • Coordinate employee performance evaluations. 

    • Ensure HR practices align with organizational policies and employment regulations. 

    Policies and Procedures 

    • Develop, review, and maintain organizational policies and procedures. 

    • Ensure policies remain compliant with federal, state, payer, and accreditation standards. 

    • Train staff on policy updates and organizational expectations. 

    • Support implementation of operational improvements. 

    Legal and Risk Management 

    • Serve as a liaison with legal counsel as needed.

    Compliance Oversight 

    • Ensure compliance with healthcare regulations, payer requirements, and organizational standards.

    Qualifications 

    Required 

    • Master's degree or higher in Physical Therapy (PT), Occupational Therapy (OT), Speech-Language Pathology (SLP), Special Education (SPED)

    • Active and unrestricted clinical licensure  

    • Minimum of two (2) years of leadership or administrative experience. 

    • Strong understanding of budgeting, payroll, financial reporting, and compliance requirements. 

    • Excellent analytical, organizational, and communication skills. 

    Preferred 

    • Minimum of three (3) years of financial management experience.

    • Bachelor's degree in Finance, Accounting, Business Administration, Healthcare Administration, or a related field.

    • CPA, MBA, or related advanced credential. 

    • Experience in outpatient health, home health, or nonprofit organizations. 

    • Experience with healthcare billing and revenue cycle management. 

    • Experience with grant writing and grant management. 

    • Knowledge of HR regulations and employment law.
